Key Responsibilities

  • Co‑ordinate and arrange all travel (domestic and international), including accommodation, transport, venues, catering and associated purchasing.
  • Work closely with other members of the Executive team and EAs, exercising discretion, judgement and initiative at all times.
  • Provide high‑quality administrative support, including word processing, deal administration and preparing and binding deal packs.
  • Manage monthly expense processing and ensure timely payment of team support invoices.
  • Ensure all email communications for absent team members are answered promptly and professionally, and that messages are forwarded to the right people.

About You

You will be an experienced Executive Assistant who thrives in a fast‑paced, professional services environment. Highly organised and detail‑focused, you confidently manage complex, often shifting diaries, travel and logistics, while staying on top of expenses, deadlines and follow‑through. You bring sound judgement, discretion and a high degree of professionalism, with the resilience to stay composed under pressure and the initiative to anticipate what’s needed before being asked.

Equally comfortable working independently or as part of a close‑knit team, you build strong relationships with a wide range of internal and external stakeholders and communicate with clarity and warmth. Tech‑savvy and proficient in the Microsoft Office suite, you produce polished documentation and presentations with ease, and you take pride in delivering exceptional client service and keeping the office running smoothly day‑to‑day.

Desired Skills and Experience

  • Ability to handle multiple projects and competing priorities, and to perform well under pressure.
  • Resilience and composure in a dynamic and demanding work environment.
  • Ability to work independently, while knowing when to seek guidance or escalate.

  • Strong organisational skills to ensure completion of time‑sensitive and deadline‑driven tasks.
  • Excellent communication and relationship management skills, with the ability to interface daily with a diverse range of internal and external contacts.
  • Proficiency with the Microsoft Office suite (Outlook, Word, PowerPoint, Excel), including the ability to quickly create clear and visually attractive presentations.
  • 3–5 years’ experience in team administration or EA roles supporting senior executives or senior team leaders (ideally in a professional services, financial services or similarly fast‑paced environment).
